Email & Communications Policy

This policy describes how Citzo Enterprises LLC, a Wyoming, USA limited liability company ("Citzo Enterprises," "we," "us," or "our"), sends email in connection with the Rulder application and service, who can receive that email, and how to stop it. It is published so that recipients, mailbox providers, and our email service provider can see our sending practices in full.

1. Who we email.

We send email only to: (a) people who created a Rulder account themselves and confirmed their own email address; (b) people who wrote to one of our published addresses, in reply to their own message; and (c) field partners and beneficiaries with whom we have an existing working relationship, about a specific case.

We do not email anyone else. We never buy, rent, scrape, harvest, or otherwise acquire mailing lists, we never send to addresses supplied to us by a third party, and we do not send unsolicited bulk email of any kind.

2. How you opt in.

The only way an address enters our system is that a person types it into the Rulder signup form themselves. Signup uses confirmed opt-in: the account is not active until the person clicks the link in the verification email we send to that address, so every address we hold has been proven to belong to someone who asked for it. Your acceptance of this and our other policies is recorded with a timestamp and the version you accepted. Staff cannot add an address to our system on someone else's behalf, and there is no bulk import path.

3. What we send.

Service email, sent because it is necessary to operate your account and record what you paid for:

Optional email, which is off unless you switch it on: occasional product updates and summaries of what the Service has delivered. This requires separate consent, is never a condition of using Rulder, and every such message carries a working one-click unsubscribe link.

Rulder does not run advertising email campaigns and does not email on behalf of any third party. Community-wide announcements are delivered as in-app push notifications, which you control from your device's notification settings, not by email.

4. Frequency.

Service email is triggered by your own actions — a signup, a payment, a delivery, a refund, a support message — so there is no fixed schedule and no recurring bulk send. The only message that goes to all account holders is a notice that a policy version has changed, which is infrequent and required.

5. Unsubscribing and managing what you receive.

Optional email: use the unsubscribe link in the footer of any such message. It takes one click, requires no login and no explanation, and is honoured immediately. You can also change the setting under Profile in the app, or email [email protected] and ask us to stop.

Service email cannot be switched off while your account is open, because it is the record of payments you made and deliveries you are owed. If you no longer want any email from us, delete your account — from Profile in the app, or at https://rulder.com/delete-account.html — and sending stops entirely. 6. Bounces and complaints.

Every bounce and every spam complaint reported back to us by our email service provider is recorded automatically against the address concerned, and we act on it without waiting for the recipient to contact us:

7. Sending domain and authentication.

All Rulder email is sent from the mail.rulder.com sending domain, a subdomain of rulder.com, through a reputable third-party email service provider. Our sending domain publishes SPF, DKIM, and DMARC records, and every message we send is DKIM-signed. We do not send email on behalf of third parties and we do not authorise anyone else to send email using our domain.

8. How our messages identify us.

Every message we send identifies Citzo Enterprises LLC as the sender, states that Rulder is operated by Citzo Enterprises LLC in Wyoming, USA, and comes from a reply address that is monitored by our staff. We do not use forged or misleading headers, disguised sender names, or subject lines that misrepresent what the message is about.

9. Reporting abuse.

If you receive email that appears to come from Rulder and you did not ask for it, report it to [email protected], forwarding the message with its full headers. We investigate every report and reply to the person who sent it. If the message came from us, we suppress the address and correct the cause. If our domain was spoofed, we act on it through our DMARC reporting and, where appropriate, with the provider carrying the message.

10. Your data.

Email addresses and the delivery outcomes described in Section 6 are processed as set out in our Privacy Policy. We do not sell, rent, or share your address with any third party for that party's own marketing. Suppression records are kept after account deletion for one purpose only: to make sure we never email that address again.
